Key Questions for Planning Your Encounter

Here are some of the most common questions we hear from team leaders, with clear answers to guide your planning.

Who’s involved in an Encounter trip, and what does each role do?

An Encounter trip is a partnership between your team and ours, with a few key roles working together.

The sending partner (your church or organization) sends the team, while the trip organizer handles logistics like dates, travel, and payments. The team leader focuses on people—preparing the team, leading in-country, and following up afterward.

On our side, a TRIAD team member coordinates details leading up to the trip, and your TRIAD Armenia host guides your team throughout your time in-country.

How do team members register, and what do they need?

Your trip organizer will receive a team-specific registration link for members to sign up, keeping everything connected to your team.

All team members will need a valid passport with at least 6 months of validity beyond the trip. If a passport isn’t available at registration, it can be submitted later through a provided link.

Encounter trips are open to those 18 and older at the time of departure.

What does an Encounter trip cost, and how do payments work?

The TRIAD cost is $900 per person, which covers in-country transportation, lunches and dinners, all activities, a TRIAD host, travel insurance, and pre- and post-trip support. Your final balance is based on your confirmed team size, minus any deposits already paid.

Airfare, hotel, and breakfast are not included in the TRIAD cost and are arranged by your team, but will factor into your total trip cost. Personal expenses like snacks, shopping, and travel-related items are also not included.

All payments to TRIAD are made through the sending partner, not individual team members. Most teams follow a simple timeline: an initial deposit to secure dates, a second deposit a few months out, and a final balance due about 6 weeks before departure.

Fundraising, if needed, is handled by your team through your church or organization.

What will the trip be like day-to-day, and how are travel details handled?

Encounter trips are full, guided experiences designed to help your team engage deeply. Each day is led by a TRIAD Armenia host and includes a mix of cultural experiences, time with our team, shared meals, and space for reflection, prayer, and debrief.

Trips are typically 7 days (Sunday–Saturday). We’ll provide a schedule ahead of time, but some flexibility is expected as plans may shift.

TRIAD covers all in-country transportation, including airport pickup, daily travel, and excursions. Your team will arrange flights and hotel accommodations, with a list of approved hotels provided.

How should we pack?

A detailed packing list is provided in Prepare to Go, so your team won’t have to guess. Most expenses can be covered with a card, but we recommend bringing about $100 USD in cash for small purchases like coffee, snacks, or souvenirs.

Armenia uses 230V electricity with Type C and Type F outlets. A travel adapter will work for most devices like phones and laptops, but some items may require a voltage converter, especially those with heating elements, and may not work reliably.

Teams should not bring gifts unless specifically asked ahead of time.

How does TRIAD handle health, safety, and insurance for the trip?

Your team’s safety is a top priority. TRIAD closely monitors travel conditions and follows U.S. State Department guidance—if safety becomes a concern, trips will be adjusted or canceled accordingly. At the same time, Armenia is a safe and welcoming country, known for its hospitality and friendliness toward visitors.
Travel insurance is included for all team members, and Yerevan is a modern city with accessible medical care if needed. If anyone feels unwell during the trip, they should let their team leader and TRIAD host know right away so it can be addressed quickly.
Encounter trips are active and full, so team members should be prepared for long days, walking, and the effects of travel like jet lag. Any medical, dietary, or physical considerations should be discussed with the team leader ahead of time to ensure a safe and smooth experience.

What should our team expect culturally while in Armenia?

Armenia’s primary language is Armenian, though many people also speak English, along with Russian or Farsi. Your TRIAD host will be fluent in English and help with any communication along the way.

Photos are generally welcome, but your host will guide you if there are moments or places where photography isn’t appropriate.

We encourage teams to carry themselves with respect, humility, and awareness—toward one another and the people they encounter. How your team shows up matters, and we’ll help guide that throughout the week.

What is the cancellation policy for an Encounter trip?

We understand that plans can change. Teams have a 30-day grace period after the initial deposit to cancel for a full refund.

After that, portions of deposits become non-refundable as planning and in-country arrangements begin. Once final payment is made (about 6 weeks before departure), the trip is considered confirmed and no refunds are available, as funds are committed to in-country arrangements.

If a team member withdraws before final payment, adjustments can be made. After that point, the total trip cost remains the responsibility of the sending partner.

If TRIAD needs to cancel a trip due to safety or unforeseen circumstances, we will work to reschedule or refund your team’s costs. In some cases, funds can also be applied to a future trip or designated as a donation.

What happens after the trip ends?

We don’t want the experience to stop when your team returns home. Each team will receive a welcome home gift along with guidance to help process the trip and keep the momentum going.
